We built this site to collect as little as possible. This policy explains what we receive, how we use it, and the choices you have.

This website
This policy applies to reclaimlogix.com. Our client portal is still being built. When it is live, the information clients submit through it will be governed by this policy together with a separate Data Processing Agreement that each client signs.
Almost nothing, and only what you send.
- We use no analytics or advertising trackers, and we do not build profiles of visitors.
- The only personal information we receive is what you choose to send us. When you email us, for example to request a Health Check or the deadline calendar, we receive your email address and whatever you include in your message.
- Like almost every website, our hosting provider keeps standard server logs that can include your IP address, browser type, and the time of your visit. These help keep the site secure and running. They are not used to identify you.
- Some files that make up this site may be delivered through content delivery networks, which need your IP address to send those files to your browser.
Chatting with Donna.
Donna is our website assistant. She answers questions about our service and can book a free Health Check call for you. She is built to work at the business level only. She never needs, and should never be given, Social Security numbers, owner or beneficiary lists, account numbers, or other personal records. Please keep the conversation to business details.
- What she collects: only what you choose to share to arrange a call, such as your organization type, the states you operate in, a rough sense of scale, and your name, email, and phone number so we can follow up and book your Health Check.
- Where it goes: the conversation and those details are stored in our database so our team can prepare for your call, and a short internal brief is emailed to our team through Microsoft 365. If you book a Health Check, Donna uses your name, email, and phone number to create the appointment through Microsoft Bookings, which then sends you a confirmation and a meeting link. We share these details only with the service providers that help us run Reclaim Logix, and we never sell them or use them for advertising.
- A privacy backstop: before a chat is processed or stored, our system looks for text formatted like a Social Security number and masks it to its last four digits. This is a best-effort backstop, not a guarantee. The real protection is that the assistant never needs this information, so please do not enter it.
- How long we keep it: we keep chat intake and transcripts only as long as we need them to follow up with you and keep ordinary business records, then remove them.
Only the ones that keep you signed in.
The marketing pages of this site set no cookies. When our client portal is live, it will use strictly necessary cookies, the kind required to keep you securely signed in. These are essential for the portal to work. We do not use cookies for analytics, advertising, or tracking.
To answer you and run the site.
- To respond to you and provide the information or service you asked for.
- To operate, secure, and improve the website.
- To meet our legal and regulatory obligations.
We do not sell or rent your personal information, and we do not use it for advertising.
Only with the providers that run our business.
We share information only with the service providers that help us operate, and only as much as they need to do their job. The current list of those providers is on our Security page. We may also disclose information if the law requires it. We never sell your data.
Client data is handled under a separate agreement.
Our client portal is being built. When it is live, clients will use it to submit data about their own customers, employees, or constituents so that we can prepare unclaimed property filings. That sensitive data is protected by the controls described on our Security page and governed by a separate Data Processing Agreement. In that role we act as a service provider, processing data on the client's behalf and under the client's instructions.
Retention
We keep email correspondence for as long as we need it to answer you and to maintain ordinary business records. Data submitted through the client portal is kept according to the Data Processing Agreement, which sets purge schedules for raw files and retention periods for completed filings.
Seeing, correcting, and deleting your information.
Depending on where you live, you may have rights over your personal information. To the extent these laws apply to us, you may have the right to see what we hold, correct it, or ask us to delete it. If you are a California resident, the CCPA and CPRA provide the right to know, delete, correct, and opt out of the sale of your information, and we do not sell information. Residents of other states with privacy laws may have similar rights.

Not a service for children.
Reclaim Logix serves organizations, not children. We do not knowingly collect personal information from children.
